Sample Maternity Leave Letter

Looking for sample maternity leave letter? Before writing the letter, you must first decide how much maternity leave to request and decide whether you want to request a gradual return to work.

If your request for maternity leave is approved, send a confirming letter to your immediate supervisor and the HR Department.

This will serve as a record in case your supervisor leaves the company while you are on leave.

When you list the date you’ll be returning to work, it’s important to be as flexible as you can. You don’t want to say “I’m returning on October 1st” and then later change your mind.

One way to get around this is to say “I expect returning to work in October 2010, however it would be best if we could meet in late July to discuss my return in person”.

    Dear (Manager Name),

This letter is to formally inform you I am pregnant and wish to take maternity leave. I expect the leave to last (number) weeks and to begin on (date you wish leave to begin).

I shall avail full maternity leave till (month, year) and want you to confirm if you accept the date of rejoining.

If I wish to return to work sooner, I am aware that I have to notify you of the same. Similarly if I am late in rejoining work due to any reason, I shall notify my reasons.

I look forward to your approval and sanction of my maternity leave.

Waiting for the reply and thanks for your time and consideration.
